General

Question: What is Spectator Photos?
Answer: Spectator Photos is a website that provides opportunity for spectators, amateur and professional photographers to upload and sell sporting event photos to the event competitors (or share photos free of charge). Photograph quality and price are dependent on the photographer. Participants can search for their photos using information that the photographer has added with the photo, normally this includes event name, date and participant bib number.
 
 
Question: Do I need to register?
Answer: You need to register if you want to upload and sell photos, you do not need to register to buy photos.
 
 
Question: I normally use an alternative website to share my photos freely, why should I use spectator-photos.com website instead?
Answer: It takes time and effort to upload photos on the internet so it is nice to be rewarded for the effort, or at least use the opportunity to raise money for a favourite charity. If you want to continue using Flickr then the users of spectator-photos.com will be directed there for additional internet photos so we suggest that you include the full event title and participant bib number as tags on Flickr. It is also possible to upload images on spectator-photos.com with a price "0.00" that are free to the user and images are not obscured by a watermark.
 
 
Question: How can I notify administration about a photo?
Answer: Not all photos are screened by administration for appropriate content, it is a condition of using the website that only appropriate photos are uploaded. Administration welcomes the input from viewers to help remove inappropriate pictures and ban the respective registered users - in the intermediate image view there is a "Report to Administrator" link (Picture information) , click this, complete the necessary details before sending to administration. Please also use this button if there is a picture of you that you do not want displayed.
 
 
Question: What are cookies?
Answer: Cookies are a plain text piece of data that is sent from a website and is put on to your computer.
Cookies usually allow a user to leave and return to the site without having to login again, save images to the shopping basket and other various chores. This website does use cookies to facilitate website functionality
 
 
Question: How can I use Spectator Photos for my event?
Answer: You may promote and encourage spectators / photographers to sell photos of your event on this website and also refer the event competitors to the site to look for their photos. There are no photographers contracted to Spectator Photographs for photographing specific events, it is up to the event organiser to ensure that photos are taken. Please contact Website Administration to enquire about how you can earn commission from sales of photos from the event or add your charity appeal to the list of charities that photographers can select for donating a share of earnings.
 
 
Question: Can I display a link to my own photo website from Spectator Photos profile?
Answer: Yes, a link to personal photo website can be added to your user profile page. This is on condition that the same ( or similar) photos that are posted for sale on Spectator Photos website do not appear on the personal page and that the site does not act as a direct competitor to Spectator Photos. Please use the request process accessible from your account page and provide the web link information. The decision to add the link is at the sole discretion of Spectator Photos website management and it can be removed at any time without prior notification.
 
 
Question: How can I contact spectator photos website?
Answer: If you have any questions that are not covered in FAQ then please contact Website Administration using the web link and we will endeavour to reply as soon as possilble.
 
 

Buying Photos

Question: How do I find my photos?
Answer: Search for relevant photos using the search function, common search criteria that can be used are usually the event name, date (month and year) and competitor bib number. For some events it will also be possible to search using your name and the event but this is not always reliable. Use the second search field on the search page if the first field does not provide results, this second search option uses a more basic keyword search and is sometimes more reliable
 
 
Question: Why am I not able to find my photos?
Answer: Photos will only be available if Spectators have taken pictures and identified them correctly. Try modifying your search words to the key words only. Photographers may also upload photos a long time after the event so it may be necessary to search again later.
Please also remember that this is a relatively new website, more photographers will join over time increasing the number of photos available so please bookmark this site and pay us a return visit after your next event.
 
 
Question: How can I view selected photos?
Answer: Using the search field you can find photos according to your search criteria, these will initially be displayed as a series of thumbnails. If you click on the first image in the series you can select Slide Show button to automatically progress through intermediate views of the selected images. By clicking on the intermediate size image a larger watermarked image is displayed, this larger image is the same size as the image you will receive when you purchase the photo - the central band of this image is not marked and can be used to assess image quality before purchasing.
 
 
Question: How do I add a picture to "My Shopping Basket"?
Answer: Click on the thumbnail image to display the intermediate sized image, scroll down to "Shopping Basket" in the picture information displayed below. Select the image checkbox and then click "Add to Shopping Basket".

Question: How do I remove a picture from "My Shopping Basket"?
Answer: Click on the thumbnail picture in your "Shopping Basket" to display the intermediate size image and scroll down to the picture information shown below. Click "Remove from Shopping Basket".
There is an alternative option to to empty all photos from the shopping basket by clicking on "Empty Basket" in the "Shopping Basket" view.

Question: How do I buy photos?
Answer: The file names of the photos that are in "My Shopping Basket" will be listed when you click on "Go To Checkout". Click the PayFast Buy Now button to go to the PayFast secure site where payment can be made by credit card.
 
 
Question: How will I get the photos that I have ordered?
Answer: Immediately after successful payment you will receive an email sent to the address that you provided during the transaction process, this email will contain links to the original photos that were uploaded by the photographer and these can be saved to your computer.
It is also possible to access your purchased photos from the page where you will be redirected after completing your purchase. This can be done by copying and pasting your receipt number in the text field provided on the following sales web page.
Photo prints are not currently available.
 
 
Question: What if I do not receive an email with the photo links?
Answer: Check your spam mail to see if the email has not been caught by the filter.
If you cannot find a mail, copy your receipt number from PayFast and paste it in the text field provided on the following sales web page.
If you are still not able to find your photo please contact Website Administration to check your transaction and re-send the links.
 
 
Question: How can I be sure my credit card transaction is safe?
Answer: Spectator-photos makes use of the secure payment services of Paypal (www.paypal.com) and PayFast in South Africa (www.payfast.co.za), please refer to their security information if you want to learn more about the security measures in place to protect your payment. No customer details are stored on the spectator-photos.com website server.
 
 
Question: How can I be sure of the quality of the photographs purchased?
Answer: The quality of photograph is dependent on the photographer that uploads the photo. There are different versions of the images visible to the user before purchasing - thumbnail images that are used for browsing and do not have watermarking, intermediate images that have a watermark in the centre and the full size image that can be viewed by clicking on the intermediate image. This large image is the same size as the image you will receive if you buy the photo and is heavily watermarked. The central band of this image is not watermarked and can be used to assess the quality of the photo.
 
 
Question: Why are prices different for photos ?
Answer: The price of the photo is determined by the photographer, different photographers may set different prices based on their perception of demand, image quality or content.
 
 
Question: How can I provide feedback about the photos purchased ?
Answer: Immediately after payment you will receive an email with a link to the purchased photograph, this mail also includes a link back to the website with the opportunity to rate the photo purchased according to a five star rating criteria. The ratings go from best (best) to worst (worst). Please use this feature to rate your photos so that we can provide feedback to the photographers.
 
 
Question: What about the copyright for photos that I buy?
Answer: Please refer to terms and conditions for more detailed information about copyrights. In summary, the copyright of a photo remains with the photographer.
 
 
Question: How can I get permission to use a photo outside the scope of standard terms and conditions?
Answer: The terms and conditions section cover conditions regarding the use of the photo. If you require additional files or permissions please contact website administration who will in turn contact and request this from the photographer on your behalf.
 
 
Question: Can I get a refund for photos purchased?
Answer: Unfortunately due to the fact that the photo is sent electronically means it is not possible to get a refund unless the photo delivered is not what was ordered. The small and watermarked views available to the buyer before buying the photo, as well as the displayed details about file, should be sufficient information to base your decision to purchase the photo on. If you have doubts please contact website administration before the purchase or do not buy the picture.
 
 

Selling Photos

Question: How do I register?
Answer: Go to "Register" and fill out the required fields - username, email and password. After submitting your information you should receive an email message sent to the address that you provided, follow the instructions to activate your account. If you do not receive a mail please check that it has not been blocked by your spam filter. Your account must be activated before you will be able to login.
 
 
Question: What does it cost to sell photos?
Answer: Registering and uploading photos is free, there is a 30% website administration charge that is deducted from photographer earnings when a photo is sold. This charge is to cover costs associated with Paypal / PayFast and Credit Card transactions, hosting & administering the website as well as paying agreed third party commissions to event organisers and supported charities..
 
 
Question: How are the payments to photographer and charity calculated?
Answer: There is an administration fee for using the website, currently 30% of the photo price. This fee includes the costs associated with Paypal / PayFast and Credit Card transactions, hosting & administering the website as well as paying agreed third party commissions to event organisers and supported charities.
The remaining balance (70%) is divided between photographer and the nominated charity according to the pre-selected ratio.
Example:
Photo price = R50.00: administration fee (30%) = R15.00 and the photographer earnings (70%) = R35.00.
If the photographer selected a 20% donation of earnings to Charity X: photographer account credit ( 80% of R35.00 ) = R28.00 and Charity X account credit ( 20% of R35.00 ) = R7.00.
 
 
Question: Why do I need to provide an Email when I register ?
Answer: Your email is used to validate your application and as a means of contact for administration if required, including notification when photos are sold. Your address will not be used for unsolicited emails
Your email is also used as your account payment reference for payment so it is important to keep it updated.
 
 
Question: How can I change my registered email address?
Answer: When you are logged in go to "Profile" and change the email address.
IMPORTANT: make sure that the email submitted is correct - this is used as a payment reference.
 
 
Question: Do I need a paypal account or payfast if I register?
Answer: You do not need a paypal or payfast account at the time you register. If you have a paypal account payment can be made to this account when you request payment transfers from your account otherwise an alternative bank payment process will be arranged. If the photos you upload are free of charge or you want to donate all the procedes of sales to charity this does not apply.
 
 
Question: How Do I login?
Answer: Go to "Login", submit your username and password. Check "Remember Me" if you want to remain logged in to the site if you leave it.
IMPORTANT:Cookies must be enabled and the cookie from this site must not be deleted in order to use "Remember Me".
 
 
Question: Why am I not able to login?
Answer: Did you register and click the link that was sent to you via email?. The link will activate your account. For other login problems contact Website Administration and we will try to help.
 
 
Question: What if I forgot my password?
Answer: Use the site "Forgot password" link to send your password to the email you registered.
 
 
Question: How do I upload a photo?
Answer: Go to "Upload". Click "Browse," find the file to upload and click "open."
Select the appropriate album from the drop down menu corresponding to the month of the event; include the title, location and date of the event; include a description of the photo e.g. where the photo was taken; include participant numbers that will be used to help find photos for buying. Add a photo price and optionally select a % of proceeds that you would like to donate to one of the listed charities.
Click "Submit".
Users can upload up to 10 photos at a time, these will be watermarked when displayed on the website.
Refer to the "User Guide" for a more detailed description of the uploading procedure.
 
 
Question: Why is the upload of photos interupted?
Answer: You may be attempting to upload too many photos or the the photos are too large. Try reducing the size of photo and the number of uploads. It may also be that the web server is very busy (peak usage occurs after weekend events), try uploading at a later time.
 
 
Question: Is there a quicker way to upload photos, e.g. using FTP batch uploads?
Answer: The option to upload using FTP batch uploads has been developed and is available to selected users. This service is available with a higher percentage admin fee charged for photos sold, for more information on this service contact Website Administration.
 
 
Question: What about the copyright for photos that I sell?
Answer: Please refer to terms and conditions for more detailed information about copyrights. In summary, the copyright of a photo remains with the photographer.
 
 
Question: What type and size of a file can I upload?
Answer: Only .jpeg / .jpg file format can currently be uploaded, a file size of approximately 1200 x 1800 pixels is recommended.
 
 
Question: Why are my photos not visible after I have uploaded them?
Answer: Photos may initially held by administration for approval before they are visible on the website to users. After approval (normally within 24 hours) the photos will be visible. Only photos which are relevant and appropriate will be approved.
 
 
Question: How can I edit files that I have uploaded?
Answer: It is possible to edit information for each file individually after a file has been uploaded by clicking on "Edit" button below the displayed intermediate image. It is also possible to delete the file.
 
 
Question: How do I get paid for photo sales?
Answer: Send a message from your user account to administration requesting payout. To avoid excessive administration work this should only be done when your account balance is greater than R200 or after 6 months has lapsed since last payout or account initiation. Please ensure that you your email address registered on the site is valid.
 
 
Question: How do I check details of photos that I have sold?
Answer: When you are logged in go to My Profile you will find a link to your account. You may need to log in to this section again using the same user name and password. Here you will find details about your account balance, earnings and sales record on a transaction by transaction basis.
 
 
Question: Can I store my photos online using this website?
Answer: Spectator Photos website is not a storage facility, photos will be kept for a reasonable period of time to allow customers to buy photos (e.g. 3 months) however it will be necessary to remove photos without prior warning to save server space so do not rely on this website to be a storage facility.
 
 

Navigating the Site

Question: What's "Album List"?
Answer: This will show you the entire category you are currently in, with a link to each album. If you are not in a category, it will show you the entire gallery with a link to each category. Thumbnails may be a link to the category.
 
 
Question: What's "Upload Picture"?
Answer: This feature allows a user to upload one or more files to be displayed on the website (size and type is set by the site administrator), to an album that you select.
 
 
Question: What's "Last Uploads"?
Answer: This feature shows the photos most recently uploaded to the site.
 
 
Question: What's "Most Viewed"?
Answer: This feature shows the most viewed photos by all users.
 
 
Question: What's "My Shopping Basket"?
Answer: This feature will let a user store and manage photos in a Shopping Basket using the cookie that was sent to your computer. When you Go to Checkout these files will be listed and you can buy the photos using the secure PayFast or Paypal payment services
 
 

Charity Donations

Question: Which charities are supported?
Answer: When the photographer uploads photos they have the option to donate a % of the earnings to a deserving cause listed on the website, the available list of accounts is shown below. Details about this donation are displayed below the photo when the photo price is visible, Spectator Photos website will automatically collect the allocated % of earnings when a photo is sold and make direct payment to the organisation concerned according to the donation instructions in the associated website, unless advised otherwise by the organisation concerned. Alternatively the photographer can pledge to donate all or part of their earnings to their own designated charities by adding information about this donation in a comment displayed below the photo, it is then up to the photographer to honour this commitment.
 
 
Question: Can the charity that I support be added to the website?
Answer: If you are involved with an organisation that you think will benefit from being included in the website list of supported good causes please contact Website Administration and provide information about the organisation and advise how you expect to generate support for photo sales on the website. Not all organisations can be added to the website list but we will consider all requests that provide sufficient evidence that the donation link will be used and that the cause is legitimate.
 
 
Question: How can I donate other earnings to charity?
Answer: When you have earnings from photo sales shown in your account you can request payout using the "New Payout" link, in your profile. Identify the charity that you wish to donate your earnings to and provide payment details. You will receive confirmation that your instructions have been followed.
